Splitting inventory

A genebank often has the need to split an inventory. One common example is when receiving a new accession with its inventory of seeds – the genebank will use some of the seeds to regenerate and increase the quantity of seeds on hand. Splitting material into new packets is also common when preparing harvested material for storage in long-, medium-, and short-term storage. The incoming bulk inventory is repackaged and labeled accordingly.

Using the Inventory menu's Split inventory feature, you can simply scan the barcode of the source inventory to split it and create any number of new inventory records.

Start by selecting the Split inventory option; then scan or manually enter the Inventory barcode.

Then indicate how many times to split it.

After you enter the number of new inventory records to create, the tool displays a form for each new record. Inventory Maintenance Policy, Inventory Prefix, Quantity On Hand Units, and Type of Container are pre-filled from the source inventory (but can be changed as needed), while Quantity On Hand is left for you to enter.

In the following example, you can see that the Inventory Number is -1 by default, indicating that the two new inventory items will obtain the next sequential numbers. Complete each form and enter the relevant data, especially Quantity On Hand.

As you scroll down, the same form also provides an opportunity to indicate the original inventory's remaining Quantity On Hand.

Use the Preview button to verify your work and when satisfied, click the Save button. After saving, you will be prompted to print labels for the newly created inventory items. These are now linked with the source inventory (as parent inventory) and already have barcodes assigned by the system.
