New feature

Basic support to keep track of supplies and other materiel used in genebank operations is introduced in version 2023.4.

Batches of in vitro media and other chemicals can be recorded as assets in the supplies inventory. An indivual asset represents a specific item, batch of chemicals or other material. An asset is defined by the site where the materials are physically located and its name. The name of the asset must be unique within the site.

Types of materials

Each asset is classified as a specific type of supplies. For example, all batches of media used in in vitro collections are grouped under In vitro media category. The various types of supplies are defined in the MATERIEL_TYPE vocabulary.

Deactivating assets

Expired and out-of-stock assets should be deactivated and flagged as unavailable. While assets can be removed, the system prevents deleting records when they are referenced elsewhere in the database.

Assets can be deactivated and reactivated on their respective details pages.

Limitations

Basic support for tracking supplies means that it is not possible to manage:

  • quantity on hand
  • expiration dates
  • asset value or price
  • supplier information
  • invoices

The detailed management of assets is done in your organization's ERP system.
