Sites and auto-split

Each distribution request is linked to a distribution site. This allows the system to manage authorization and ensure that material is handled by the correct site.

The site field

The site field appears in several locations:

  • The create and edit forms for distribution requests.
  • The properties panel on the request details page.
  • The distribution request browse table and its filters.
  • The request item table, where it is displayed as a read-only Source Site column for each item.

Site authorization

Authorization for distribution requests and their associated items and actions is based on the assigned site.

Users can only see requests for sites they are authorized to access. Administrative actions, such as creating or updating the request, editing items, and managing action items (starting, completing, cancelling, or reopening), are checked against the request's site authorization.

Auto-split by site

If a distribution request has no site assigned, the Auto-split action is available on the request details page. This feature groups active items by their inventory site and organizes them into separate requests.

If all active items share the same site, the system simply updates the request to that site.

If active items span multiple sites, the system performs the following:

  • The largest group of items remains in the original request. If there is a tie, the system keeps one of the tied groups.
  • Every other group is moved into a new copy of the distribution request.
  • Items moved to new requests are marked as SPLIT in the original request.
  • Each new request is assigned its corresponding site.

Workflows and generated requests

Workflows that create order requests from inventory actions (such as viability and multiplication workflows) copy the source inventory's site into the generated request. This keeps generated distribution requests aligned with the site that owns the source material.

After the process completes, the UI displays a success message containing the generated request IDs and navigates to the first resulting request.

Inventory and filtering

Inventory validation

When adding inventory items to a request, the system validates that the inventory belongs to the site assigned to the request.

Filtering by site

The distribution request browse table and the request item filters include a Site filter, making it easier to locate requests and items associated with specific sites.
