Barcode scanners

Scanning replaces hand-typed inventory and location numbers with values read directly from labels. Use a scanner during inventory checks, sample movements, regeneration activities, or to enter storage locations without typing.

For scanned values to appear directly in data entry forms, the scanner must act as a keyboard input device (USB HID keyboard emulation). A tested model is listed in the hardware reference below, but any compatible scanner can be used.

What to look for​

  • USB HID keyboard emulation
  • A configurable suffix, ideally an Enter or Return keystroke
  • Keyboard layout matching the workstation
  • The barcode symbologies in use, whether 1D or 2D
  • Wired or wireless operation to suit the workflow
  • Good-read feedback, such as a beep or LED indicator

Basic setup​

  1. Configure the scanner for USB HID Keyboard Emulation using the manufacturer’s configuration utility or programming barcodes.
  2. Enable an Enter or Return suffix so each scan moves to the next field.
  3. Make sure the scanner’s keyboard layout matches the workstation layout.
  4. Open a plain text editor and scan a barcode to confirm the value appears correctly and ends with a new line.

Troubleshooting​

Scanner does not respond​

  • Make sure the scanner is charged or seated on its powered cradle.
  • Check USB and power connections, then restart the scanner if it has a removable battery.
  • Restore factory defaults and repeat setup if the issue persists.

Scans are not received by the computer​

  • Confirm the scanner is configured for USB HID Keyboard Emulation.
  • Reconnect the USB cable or try a different port.
  • Re-pair the scanner with its base or cradle if applicable.
  • Check that the workstation keyboard layout matches the scanner layout.

Barcodes read incorrectly or not at all​

  • Inspect labels for damage, creases, or smudging.
  • Make sure the label contrast is high enough for the scanner.
  • Check that the barcode size and scanning distance are appropriate.
  • Verify the scanner supports the barcode symbology being used.

Quick test​

If scanning behaves unexpectedly:

  1. Open a plain text editor.
  2. Scan a known barcode.
  3. Confirm the value appears exactly as expected.
  4. Confirm a new line is added automatically when the Enter suffix is enabled.

Using scanners in forms​

Handheld scanners work in most data entry fields that accept inventory or location identifiers. For example, when editing an inventory item, you can scan a storage-location barcode directly into the Location Section fields. The scanner fills the field and the configured suffix moves focus to the next field, just as if you had typed the value.
