Rapid inventory registration
The Inventory registration tool lets you start recording packets right away, without waiting for all passport data to be entered first.
You can do a physical inventory of your collection, barcode each packet, and record its quantity and location. Missing accession numbers can be added as you go.
Work through one location at a time:
- Select a rack, shelf, or box in the storage room.
- Open Inventory > Storage navigator and review the existing data for that location.
- Take the first seed packet (or in vitro plantlet).
- Click Add inventory item.

The Add inventory item form has three sections: one for looking up the accession and registering any missing accession numbers, one for choosing the inventory maintenance policy and barcode label template, and one for entering the inventory details.
- Look up the accession by entering the accession number on the packet. If it is missing, enter the taxon of the material and register the missing accession.
- Select the inventory maintenance policy and choose the label template you want to use for barcoding.
- Enter basic information about the packet: inventory type and availability status. You can also record the propagation date (usually noted on the packet) and the current quantity immediately. Advanced mode lets you record everything else noted on the packet, such as initial seed viability and moisture content.
- Labels print automatically when the inventory item is saved, and the form stays open.
- Take the next packet at this location and repeat from step 5 until every packet has a barcode.
This approach lets the documentation team move passport data into the system at its own pace while the rest of the staff continue barcoding.
